Software Based Hybrid Spaces

Most of our large learning spaces now have integrated microphones and cameras to enhance hybrid discussions and interactions. This technology allows remote participants to hear and clearly see the in-person audience allowing for more engagement.

Quick Reference

present to In-Person Students

  1. Connect the HDMI cable to your laptop to use the touch panel and room projector.
  2. Use the touch panel to share content from your laptop within the classroom.  

Present to Remote Students

  1. Connect the blue USB cable, labeled Conferencing, to your laptop.
  2. Tap Conferencing on the touch panel to use the conference camera and microphone.
  3. Open the Zoom app on your computer.
  4. Select your profile icon > Settings.
  5. Verify the Video and Audio settings:
    • Video - USB Capture SDI+
    • Audio (Speaker) - Crestron (Crestron)
    • Audio (Microphone) - Dante USB I/O Module (Gates 4401 & Wean 7500), Shure ANIUSB-Matrix (Wean 4708) or TesiraFORTE (all other rooms)
  6. Use the Zoom app to share your screen and the Conferencing controls to adjust the camera view.

IMPORTANT! If you are using a device without an HDMI or USB port, you will need to bring your own multiport adapter.

After I'm set up, I want to...

WHAT I NEED: A laptop with your presentation

WHAT I DO: Open the presentation on your laptop.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Laptop. Your screen will be shared using the room projector in the classroom.
  1. Click Share Screen from within the Zoom meeting.
  2. Select either your desktop or a specific application and then click Share. The toolbar will move to the top of the screen. The message You are screen sharing will display.

The Conferencing Controls allow you to control the camera view. 

  • Auto Tracking - use to enable the presenter view and automatically track presenter.
  • Chalkboard - preset to focus on the camera on the room chalkboard or whiteboard.
  • Audience - preset to show the full classroom/audience.

Note: During a Zoom meeting, the camera feed will be visible on-screen similar to how a built-in webcam displays.

WHAT I NEED: A laptop and materials to share with the document camera

WHAT I DO: Place the materials under the document camera.

For in-person students: For remote students:
  • Under Device on the touch panel, tap Laptop. The document camera will be shared within the Zoom meeting and projected in the classroom.
  1. Click Share Screen from within the Zoom meeting.
  2. Select Advanced and then select Content from 2nd camera.
  3. Select ELMO UVC Camera as the USB document camera and then click Share.
    The toolbar will move to the top of the screen. The message You are screen sharing will display.

Note: Not all spaces have a USB-enabled document camera to use for remote students.

  1. Click Share Screen from within the Zoom meeting on your laptop.
  2. Select iPhone/iPad and then click Share.
  3. Follow the onscreen instructions to connect your iOS device.

  • Under Device on the touch panel, tap Laptop.
  • DO NOT click Share computer sound to avoid audio feedback. 

Note: You can also use a to share your iOS device (Mac only) or  on a shared screen or whiteboard within the Zoom meeting.

 WHAT I NEED: A designated student(s) with presentation materials

WHAT I DO:

For in-person students

Control the presentation for the student

  1. Obtain a copy of the student's presentation materials in advance of the class. 
  2. Share the presentation with both in-person and remote students.  
  3. Instruct the in-person student to stand within 10 feet of the room microphone in order to speak.
  4. Use your laptop to assist with presentation advancement on behalf of the student. 

Student uses personal device to share via the Zoom meeting

  • Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.

Instruct the student to:

  1. Bring a personal device into the classroom with the presentation materials.
  2. Join the Zoom meeting
    IMPORTANT! DO NOT have the student join the audio for the meeting (if prompted). If the device is connected automatically, click the ^ arrow next to Mute/Unmute and select Leave Computer Audio to prevent feedback. 
  3. Stand within 10 feet of the room microphone order to speak.
  4. Click Share Screen to present the materials.

Remote students can share their screen within the Zoom meeting.  

  1. Within the Zoom meeting on your laptop, select Security and then Share Screen. A checkmark will appear and students will be able to share for the remainder of the class.
  2. Instruct the remote student to:
    1. Click Unmute to open his/her microphone.
    2. Click Share Screen to present the materials. 
  1. Click Record. All participants will be notified via an audio message that the meeting is being recorded.
  2. Select Record on this computer to save the recording to your hard drive.
  3. Click Record to the cloud. You will receive an email with a link to the recording once it's available for viewing.

Note: Unless you enable the setting Auto delete cloud recordings, recordings saved to the Zoom cloud will remain in place until manually deleted.
